Booking Policy

Scope of Practice

At Koru Health Coaching, we are committed to providing you with personalized and high-quality health and wellbeing coaching services. To ensure a smooth experience for all our clients, please review and adhere to the following booking policies.

1. Appointment Scheduling

  • How to Book: Appointments can be booked online via our website at www.koruhealthcoaching.com

  • Advance Booking: We require appointments to be booked at least 48 hours in advance to allow adequate preparation for your session.

  • Confirmation: Once your appointment is booked, you will receive a confirmation email or text message with the session details.

2. Payment Policies

  • Payment Methods: We accept payments via credit card, bank transfer, and PayPal. All payments are processed securely through our online platform.

  • Pre-Payment Requirement: Full payment is required at the time of booking to secure your session.

  • Packages & Discounts: We offer discounted rates for clients who purchase packages of multiple sessions. Please contact us or visit our website for more information on current packages.

3. Cancellation and Rescheduling

  • Cancellation Notice: Cancellations must be made at least 48 hours before your scheduled session to avoid a cancellation fee.

  • Late Cancellation Fee: Cancellations made with less than 48 hours' notice will be charged 50% of the session fee.

  • Rescheduling: You may reschedule your appointment with no penalty up to 48 hours before your session. Rescheduling within 48 hours will be treated as a late cancellation.

  • No-Show Policy: If you do not attend your session and fail to cancel, the full session fee will be charged.

4. Refund Policy

  • Refunds for Cancellations: If you cancel your appointment at least 48 hours in advance, you will be eligible for a full refund. Cancellations made within 48 hours will not be refunded, but you may reschedule the session.

  • Refunds for Packages: Package purchases are non-refundable. However, unused sessions in a package may be rescheduled within the validity period of the package.

5. Session Length and Late Arrivals

  • Session Duration: The length of each coaching session is determined at the time of online booking. An initial assessment session of 60 - 75 minutes is required for each new client. Regular sessions are 45 minutes in length and check-in sessions are 30 minutes in length.

  • Late Arrivals: If you arrive late, your session will still end at the scheduled time to respect the next client’s appointment. No refunds or partial credits will be given for shortened sessions due to late arrival.

  • Grace Period: We offer a 15 minute grace period for late arrivals. After this time, the session will be considered a no-show and charged accordingly.

6. Client Responsibilities

  • Health Information: Clients are required to provide accurate health information and complete any necessary questionnaires prior to the session. This ensures we can tailor the coaching experience to your specific needs.

  • Commitment: Your commitment to the coaching process is essential. Please ensure you are ready to actively participate in and follow through on the recommendations provided.

7. Confidentiality

  • We respect your privacy and are committed to maintaining the confidentiality of all client information. Your personal details and session content will not be shared with third parties, in compliance with data protection laws.

8. Emergency or Special Circumstances

  • Client Illness or Emergency: If you are unable to attend a session due to illness or a personal emergency, please contact us as soon as possible to reschedule without penalty.

  • Coach Cancellation: In the unlikely event that we need to cancel or reschedule a session, you will be notified immediately, and every effort will be made to accommodate your needs.

9. Policy Changes

  • Right to Modify: Koru Health Coaching reserves the right to modify these booking policies. Clients will be notified of any significant changes via email or on our website.
